Can I lock a period so transactions can't be changed?
If you're used to setting a lock date at the end of a period so nothing can be changed behind you, here's where Prosaic stands today and what to do in the meantime.
Can I set a lock date so transactions can't be altered after a certain date?
Not at this time. There's no lock date, and no period close that prevents users from posting or editing entries in a finalised period.
It's planned. Period locking is one of the more frequently requested additions for year-end and GST workflows, and it's on the roadmap.
What can I do in the meantime?
Three things give you most of the protection a lock date would:
- Finalise GST returns. A finalised return records the position for the period, and anything that lands afterwards is picked up as a late claim rather than quietly changing a filed figure. See GST Returns.
- Publish the report pack. Publishing takes a snapshot and freezes the figures, so the client's financial statements stay as issued no matter what happens in the ledger afterwards.
- Use the audit trail. Posted journals keep a version history showing what changed, when, and who changed it, so a late edit to a closed period is visible rather than silent.
Can I restrict who's able to post into a prior period?
Not by date. You can control what people can do in the workspace through roles, but permissions don't currently vary by period. See User Roles & Client Access.
