Inland Revenue and Prosaic

Connect your myIR account to file GST returns from Prosaic, review Inland Revenue balances, and track accepted returns through to completion. This guide covers the connection, account activity, exports, and automatic GST status updates.

Connect your myIR account

You can connect as a workspace owner, admin, advisor, or as a client who has the standard user role. Clients cannot connect myIR or open Settings → Integrations; their accountant or bookkeeper manages the connection.

  1. Go to Settings → Integrations.
  2. On the Inland Revenue card, choose Connect to IRD.
  3. Sign in to myIR and authorise Prosaic to file returns, retrieve balances, and track returns for the accounts you can access.
  4. Return to Prosaic and check that the card shows Connected.

The connection belongs to your Prosaic user account. You'll need to connect your own myIR account to view balances and file returns, even if another person in your firm has already connected.

Make sure the relevant clients are linked to you in myIR. Connecting Prosaic does not create that authority. Follow Inland Revenue's guide to linking client accounts.

Reconnect or disconnect

If Prosaic shows an expired-connection alert, choose Reconnect to IRD on the same card and authorise access again. To disconnect your account, choose Revoke access.


Review IRD account balances

Open an entity and select its Inland Revenue tab. Firm staff can also open a client record and select Inland Revenue to see accounts for the IRD number on that client's Details.

Prosaic currently shows GST, Income Tax, and Resident Withholding Tax (RWT) accounts returned by IRD. Other account types are not currently displayed.

Each account card shows a Forecasted balance, labelled Owing, Credit, or Settled. Expand an account to see its filing periods, then expand a period to review activity. Where IRD supplies the details, transfers show which account and period the money moved from or to.

  1. Choose Export beside the Inland Revenue heading.
  2. In Export Inland Revenue summary, choose the Filing periods range, or select All periods.
  3. Choose Print, PDF, or Excel.

The export collects balances and filing-period activity across the available accounts, including accounts you haven't expanded on screen. Export appears once account data has loaded.

File a GST return with IRD

Prepare and finalise your return, then choose File with IRD and confirm the submission. If you haven't connected yet, choose Set up IRD filing at the top of Reports → GST Returns.

The return shows Filed while it is waiting for IRD's response. Prosaic updates it to Accepted by IRD or Rejected by IRD when a response is available. The History tab records the submission and subsequent changes.

Firm staff can also file by dragging a finalised return into Filed on the board. If you filed through myIR or another system, use Actions → Mark as filed externally on the finalised return instead. This records an external filing without submitting it again.

Automatic GST completion

After IRD accepts a GST return, Prosaic automatically updates it to Awaiting payment if IRD reports an amount owing for that period. When IRD’s period balance reaches zero or moves into credit, Prosaic automatically updates the return to Completed.

Prosaic checks at 7 am and 1 pm New Zealand time, using a working myIR connection. Returns with a zero or credit balance move straight to Completed.

Completed does not confirm that a refund has reached your bank. A return can complete while the period is in credit and a refund is still pending.

The automatic check applies to accepted returns and returns awaiting payment. Returns recorded as filed externally are managed manually. If you have confirmed a payment and IRD's data is lagging, you can use Mark as complete on an awaiting-payment return. History records automatic and manual status changes.

Automatic checks need a working myIR connection with access to the relevant tax account. Prosaic can use the filing user's connection or an eligible staff member's connection. If none is usable, reconnect under Settings → Integrations.

Check the activity behind a return

When connected, open IRD Activity inside the GST return to review that period's IRD transactions, including payments, penalties, and interest where present. Choose View IRD account balances to open the entity's full Inland Revenue statement.

If a payment is missing from the return's period, check whether IRD applied it to a different period.

Troubleshooting

  • Expired connection: go to Settings → Integrations → Reconnect to IRD.
  • Not authorised for a client: check your access to the relevant tax account in myIR. Follow Inland Revenue's linking instructions, then retry.
  • No IRD number on file: add the number in the entity or client Details, then reopen the Inland Revenue tab.
  • No IRD accounts found: check the IRD number and your myIR access. Only GST, income tax, and RWT accounts are displayed.
  • Return rejected or period not found: read the message on the return, then check the entity's GST number, reporting frequency, and filing period. If it has already been filed, check the existing filing before submitting again. See GST Returns for rejection and amendment steps.
