Migration to New Prosaic - FAQs

We’re upgrading Prosaic to a new, more powerful platform designed to make day-to-day accounting and expense workflows faster, simpler, and more secure. Your clients, bank accounts, and transactions will be migrated automatically, with no change to your pricing. You’ll gain access to improved features, including official Open Banking connections with ASB, ANZ, Westpac and BNZ, while keeping your existing workflows intact. We’ll support you through the transition, with options to export or back up your data, move early if you’d like, and get your team set up smoothly on the new platform.


FAQs

How can I export data from the old system?

You’ve got a few options, depending on what you need:

  • Export bank statements
  • Export claimed expense reports
  • Make sure everything is synced into Xero
  • Request a full backup of your data

Do I need to do anything in the new system?

No action is required to get started. We’ll automatically migrate your clients and connected bank feeds to the new platform. When you log in, your clients and their bank accounts will already be there.

Early in the new year, our expense claim feature will also be available for clients that are currently using the home office workflow


Is there any change to our fees or pricing?

No – your pricing stays the same. You’ll get access to a lot of new and improved features as part of the upgrade, at no extra cost.


We recommend continuing to use the legacy product until 31 March to finish the financial year cleanly. Once you’ve prepared your final GST returns, you can export any transactions and reports you need for your records or for your accountant.

In the new system, your clients’ bank accounts will already be available. You can simply create the relevant entity, set a conversion date of 1 April, and start reconciling the new financial year from there. If you need to carry balances forward, you can also bring across a trial balance from the old system.


I’m using your legacy cashbook to code transactions and prepare GST – what do I need to know?

You can prepare an income and expense statement from the legacy system and import this into the new platform as a journal. This makes it easy to carry opening balances forward and ensures continuity in your reporting.


What about past GST returns?

If you close out the period to 31 March and save any GST returns you’ve already prepared, it’s straightforward to pick up from there in the new system. Your historical records will remain available for reference and export, so you can always download prior returns or supporting reports if needed.


Do we have to wait until 1 April to move?

Definitely not. If you’d like to move earlier, we can migrate your clients to the new platform now and help you get up and running straight away.


Will bank connections keep working?

Yes. Your bank feeds will be migrated to the new platform automatically. The new system also supports official Open Banking connections with ASB, ANZ, Westpac and BNZ, allowing clients to reconnect securely through their own online or mobile banking.


Will any data be lost in the migration?

All client records, bank accounts and transactions will be carried across. You’ll still have access to historical data from the legacy platform for a period after sunset if you need to export anything.


Can clients log in themselves?

Yes. Clients can continue to access their bank accounts and, if enabled, use the expense claim feature in the new platform.


Will integrations (e.g. Xero) keep working?

You will be able to post to Xero from our legacy product for three months from April 1. We do not currently have a Xero integration in the new product, but we allow you to export a Xero formatted journal CSV from a trial balance, and you can add mapped codes to your charts to automatically import and map

We are taking feedback on our Xero integration and may support it in the new product, early in the new year


Will the new platform change how my team works day to day?

The core workflows stay familiar, but you’ll have access to faster reconciliation, smarter expense recognition, and more powerful reporting. We’re happy to run a quick walkthrough with your team if helpful.


What support is available during the transition?
