Editing entity chart of accounts

Overview

Once a chart template has been assigned to an entity, you currently can’t edit that entity’s chart of accounts directly. This restriction exists to maintain data integrity and prevent issues where transactions might be reconciled across conflicting charts.


Current Status

At present:

  • You cannot edit an entity’s chart once a template has been applied.
  • This restriction ensures consistency between your chart template and all related entities.

Example:

If an entity’s chart was modified manually after coding began, it could cause reconciliation conflicts between existing transactions and the new chart setup.


What’s Coming

We’re actively working on more flexible chart management tools. Soon, you’ll be able to:

  • Update chart templates, automatically provisioning any new chart codes to all related entities.
  • Edit charts directly at the entity level, including adding or modifying codes without needing to change the template.

Note: Support for custom, entity-only chart codes (not tied to a template) is planned for a future update.


What You Can Do Today

Option 1 — Early setup (no coding done yet)

If you’ve just set up the entity and haven’t started coding or reconciling:

  1. Delete the entity.
  2. Update your chart template with the desired changes.
  3. Recreate the entity using the updated template.

Deleting an entity removes its journal entries and reports but does not delete the client record or their imported bank transactions.


Option 2 — Active entities (coding or reporting already started)

If coding or reporting has already begun:

  1. Update your chart template with any new codes you need.
  2. 💬 Send us a message, and we can manually provision those new codes to your selected entities.

This approach preserves existing reconciliations and reports, avoiding the need to delete and rebuild entities.


Why We Restrict Chart Edits (for Now)

Allowing direct edits to an entity’s chart after transactions exist could cause:

  • Conflicting account mappings
  • Duplicate or invalid reconciliations
  • Data integrity issues across shared templates

Until safer update workflows are available, this restriction helps protect your accounting data.
